For US telehealth companies

Intake, scheduling and payments connected, with patient data kept where it’s allowed to be

Built in your own accounts, with health data only in tools that sign a BAA, and no ad pixels on intake, booking or checkout pages.

30-minute call with a test inquiry, never a real patient record. Nothing to pay or sign.

Example: visit booked

  1. Intake form submittedintake form → CRM, both under a BAADone
  2. Answers routed for reviewanswers → rules → clinician queueDone
  3. Payment takencheckout → payment provider, no health detailsDone
  4. Visit booked and confirmedscheduling → CRM → remindersReplayed
  5. Sale counted for ad reportingBAA-covered platform → identifiers removed → ad platformDone
An example of a patient inquiry moving through a telehealth system we build. Health details stay in tools that sign a BAA.

Example: refill due

  1. Refill coming upsubscription → CRM taskDone
  2. Renewal payment failspayment provider → retry → patient emailedPaid
  3. Refill released to the pharmacyCRM → pharmacy order, under a BAADone

  • 3,000+Automations built for clients, health and telehealth companies among them.
  • BAA tools onlyPatient data stays in tools whose vendor signs a business associate agreement. See where data goes
  • Test patientsThe setup check, the assessment and every test use made‑up patients.
  • Your accountsIt runs in your accounts and keeps running if you stop working with us.

Where it usually breaks

An intake arrives without the patient’s state, so routing waits until someone on the team checks it by hand.

A subscription payment fails quietly. Nobody notices until the patient asks why their next visit was never booked.

A clinician approves a patient on Friday evening. The order waits in a queue nobody checks until Monday.

A renewal payment fails, and the refill ships anyway.

An ad pixel sits on the intake page, sending more than anyone on the team meant it to.

What we build

Every part has a test that proves it works. We run each test with made-up patients in your own accounts before anything goes live.

Intake into your CRM

Intake answers land in the right record in a CRM or EHR that signs a BAA, with the source of the inquiry kept separately from anything about health.

State and clinician routing

Each patient goes to a clinician licensed in their state, with rules you can read and change, and a queue for anything the rules cannot decide.

Scheduling and reminders

Visits booked, confirmed and reminded, with no-shows and reschedules handled the same way every time.

Payments and subscriptions

Cash-pay visits, memberships and subscriptions recorded against the patient, with failed payments retried and flagged. The payment tool never receives health details.

Reporting without pixels on intake

Marketing measured without ad pixels on intake, booking or checkout pages, through a platform that signs a BAA and removes identifying details first.

Orders and refills

Approved prescriptions reach the pharmacy, the patient hears when it ships, and a failed renewal is flagged before the next refill goes out.

Monitoring and replay

Every step is logged. A failure alerts us, and the missed event is replayed once fixed, so an inquiry is not lost in a gap between tools.

What your patient sees, and what we build behind it

Your patient sees three steps. Behind them, every handoff is logged, tested with made-up patients and watched.

  1. Fills in the questionnaire

    • answers → CRM, under a BAA
    • ad source kept apart from health answers
    • state → routing rules
  2. A clinician reviews it

    • case → clinician queue, with an alert if it waits
    • approved or declined → patient told
    • decline path logged, nothing billed
  3. Gets a visit or medicine

    • approved → visit booking or pharmacy order
    • payment → provider, no health details
    • reminder or shipment notice → patient

Where patient data goes

Written for your legal reviewer. You get this map for your own setup, tool by tool, during the assessment.

30-minute call with a test inquiry. Nothing to pay or sign.

How it works

Prices are in US dollars and given to you in writing before any work starts.

  1. Setup check

A 30-minute call where we follow a test inquiry through your tools together. We never look at a real patient record.

    30 minutes, nothing to pay

  2. Assessment

We map every tool, mark which ones hold patient data and whether each has a BAA, and send test inquiries through the whole path.

Quoted in USD, before you book

  3. Build and test

We build in your own accounts and test every step with test patients only, before anything goes live.

  4. Go live and watch

We switch it on and check every event for the first two weeks.

  5. Monitored care

A failed step alerts us. We fix it, replay what was missed and send you a short report each month.

Is this for you?

It fits when

  • You run a US telehealth or digital health company with online intake
  • You offer cash-pay visits, memberships or subscriptions
  • You already have tools in place, and work goes missing between them
  • Your legal team wants to know where patient data goes

It’s not for

  • Hospitals and health systems that need an EHR rollout
  • Anyone who wants ad pixels on intake, booking or checkout pages
  • Anyone who wants us to run ads or write medical claims

Questions people ask

What does it cost?

The setup check costs nothing. Anything after it is priced in US dollars, in writing, before work starts.

Will you put ad pixels on our intake or checkout pages?

No. We do not place ad pixels or send conversion events from logged-in, intake, booking or checkout pages, and sending the same events from a server does not change that. Marketing is measured through a platform that signs a BAA and removes identifying details first.

Which tools can hold patient data?

Only tools whose vendor signs a business associate agreement with you, on the plan that agreement covers. We check each one with you during the assessment and keep a written map of where patient data goes.

How can you check our setup without seeing patient data?

We use test inquiries and test patients, and screens with no patient information on them. If a screen shows a real record, we stop and move on.

Do we have to change our tools?

No. We connect the tools you have. If a tool holds patient data without a BAA, we tell you and suggest an alternative that offers one.

Can a UK company work for a US telehealth business?

Yes. We work remotely with US companies and quote in US dollars. Data stays in your own accounts and the US-based tools you choose.

Who owns what you build?

You do. It runs in your own accounts. If you stop working with us, it keeps running and we hand over the map and the logins.

Is this legal advice?

No. We build and look after systems. Your attorney signs off the data and tracking plan before anything goes live.
